Research Advertising
Research is an important component of our mission at Penn State Milton S. Hershey Medical Center and Penn State College of Medicine. And clinical research is a key link between discoveries made in the lab and promising therapies available to patients. To maintain a robust clinical research program, we need to ensure members of the public know they have ample opportunity to participate in scientifically sound and professionally run clinical research studies at our institution. The more successful our recruitment, the more likely we are to attract future studies, and the more we are able to contribute to medical understanding and care.
 
The Institutional Review Board (IRB) and the Office of Marketing and Communications have developed these step-by-step instructions in an effort to make advertising placement for and related promotion of clinical research studies as simple as possible, while ensuring that regulatory and institutional guidelines are met. In addition to designing ad materials and helping study coordinators determine the best medium for targeting potential participants, Marketing and Communications offers other resources. We can help develop targeted mailing lists of referring physicians in the region by discipline. And we have access to a large database of demographic information about where our patients come from for various types of treatment, allowing us to help study coordinators narrow the focus for spending advertising dollars wisely.

If you are ready to begin the process, here are step-by-step instructions: 

 
  • Study coordinator completes the Clinical Research Recruitment Advertising Questionnaire.
  • Use sample ad materials and web links to stock photo collection supplied to help you determine what might best promote your current study
  •  Study personnel submit the completed Clinical Research Recruitment Advertising Questionnaire.
  • The Web site will allow you to print a copy of your submitted form for your files. For new studies (not IRB approved) submit a copy of this form with your IRB application materials.
  • Study personnel submit any additional materials—images or recruitment materials produced by an independent agency hired by the sponsor—to Marketing and Communications via e-mail, using the IRB protocol # in the subject line if available.
  • Marketing and Communications creates ad materials working with study coordinator.
  • Study personnel are responsible for submitting materials for sponsor approval.
  • Study coordinator submits final version of ad/flyer to HSPO for IRB review. For ongoing studies use a Modification Request Form to submit the ad/flyer to the HSPO. (available at www.pennstatehershey.org/web/irb/home/resources/forms/ongoing).
  • IRB coordinator issues approval memo for final version of ad to both the study coordinator and Marketing and Communications
  • Marketing and Communications works with study coordinator to place ads and radio or TV spots
  • Study personnel fills out Print Request Form if printed copies are needed.
  • Web listing in flyer format should be submitted to departmental Web coordinator and Clinical Trials Office
 

All newspaper advertisements and flyers will be tracked using the IRB protocol number and a version date.
